This Privacy Policy describes how My Words Remain LLC, a Georgia limited liability company doing business as My Words Remain (“My Words Remain,” “we,” “us,” or “our”), collects, uses, and protects your information.

Our Core Promise
Information We Collect
We collect only the information necessary to provide the Service:
- Identity & Contact: Your name, email address, phone number, and mailing address.
- Payment Information: Credit and debit card payments are collected and processed by Stripe. We do not store your full card number — we receive only the last four digits and a transaction confirmation token.
- Recipient Information: Names and mailing addresses for people designated to receive your Letters.
- Trigger Contact Information: Name and contact details for the person designated to assist in initiating delivery.
- Account Activity: Login history, check-in responses, and account preferences.
How We Use Your Information
We use your information solely to provide and maintain the Service:
- Creating and managing your account
- Storing your Letters and maintaining chain-of-custody records
- Coordinating delivery to designated recipients at the appropriate time
- Conducting annual check-ins and sending account notifications
- Processing payments and managing billing
- Responding to your questions and support requests
We do not use your information for advertising, marketing profiling, or any purpose unrelated to providing the Service.
Payment Security
All credit and debit card information is collected and processed by Stripe, a PCI DSS-compliant payment processor. My Words Remain never receives, stores, or has access to your full card number, CVV, or billing authentication details.
We retain only the last four digits of your card and the transaction confirmation necessary for billing records and customer support.
Data Protection
We take data security seriously and maintain the following safeguards:
- All data is encrypted in transit using TLS/HTTPS.
- Data at rest is encrypted using industry-standard encryption.
- Access to customer records is restricted to authorized personnel with a legitimate operational need.
- We conduct regular security reviews of our systems and practices.
Data Sharing
We never sell your personal information. We share data only in the following limited circumstances:
- Stripe: For payment processing, as described above.
- Shipping Carriers: Recipient name and mailing address are shared with a carrier (e.g., USPS, FedEx, UPS) solely for the purpose of Letter delivery.
- Successor Organization: If My Words Remain transitions to a successor business, customer records and Letters will transfer to that organization under equivalent privacy commitments. Customers will be notified in advance of any such transition.
- Legal Requirements: We may disclose information if required by law, court order, or government authority, and will notify you to the extent permitted.
Data Retention
- Active accounts: Data is retained for the duration of your account and indefinitely for as long as Letters remain in our care.
- Cancelled accounts: Personal data is retained for 3 years following cancellation and Letter return, then securely deleted.
- Delivered accounts: Records are retained for 3 years following the final Letter delivery, then securely deleted.
We do not retain any copies of Letters following delivery or return.
Your Rights
You have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correct: Request corrections to inaccurate or incomplete information.
- Delete: Request deletion of your personal data (subject to retention requirements outlined above).
- Export: Request your data in a portable, machine-readable format.
